AI Phone Agents and Receptionists

When two calls arrive at once or everyone is on a job, an AI receptionist greets the caller, works out what they need and answers, takes a message or transfers.

AI phone agents answer calls to your business number when your team cannot. That includes after hours, during lunch, while everyone is on a job, or when two calls come in at once. Instead of sending a caller to voicemail, an AI receptionist greets them, works out what they need, and either answers, takes a message, or sends the call to the right person.

Infinite Marketing plans and sets up AI phone answering for local businesses. Every business routes calls differently, so we start with a consultation about how your phones work today rather than a one-size-fits-all package.

The problem with missed calls

For a plumber, a law office, or an auto shop, a ringing phone is often the most valuable lead the business receives. These callers usually have an immediate need. If nobody picks up, many will not leave a voicemail. They call the next business on the list. AI phone agents are meant to close that gap without hiring another full-time receptionist.

  • Calls get answered after hours and on weekends instead of going to a full mailbox.
  • Overflow is covered when your front desk is already on another line.
  • Routine questions get answered: hours, location, services offered, and what to bring.
  • Urgent calls are separated from routine ones, so your staff know which messages to return first.

What an AI receptionist can handle

After-hours coverage

A consistent, polite greeting at any hour that says when the office reopens and what the caller can do in the meantime.

Call routing

Rules for passing calls to the right department, person, or on-call number based on the caller’s answers, with a fallback when nobody is available.

Message taking

Structured messages covering name, callback number, reason for calling, and urgency, sent to your team in a format they can act on quickly.

Appointment requests

Collecting preferred days, times, and details so your staff can confirm the appointment. With the right calendar setup, scheduling can go further. See AI appointment scheduling.

Common questions

Answers drawn only from approved information, such as hours, service area, and services offered. The agent declines anything outside that scope.

Call summaries

A simple record of what each caller wanted, so the owner can see how calls are being handled and where the script needs work.

Which one fits?

Phone coverage can be handled in several ways. This is how an AI phone agent compares with the usual options:

Approach What the caller experiences Main trade-off
Voicemail only A recording and a beep Many callers hang up without leaving a message
Human answering service A live person reading from your instructions Ongoing cost per call or per minute, and the operator may not know your business well
AI phone agent A conversational assistant that answers, routes, or takes a message Needs careful scripting and clear limits, plus a reliable path to a human
Website voice chatbot A spoken conversation started from your website, not your phone number Does not cover people who dial your number

If most of your inquiries come from your website instead of the phone, a text website chatbot may be the better first step.

How we set up AI phone agents

  1. Map your current calls

We go through who calls, when, why, and where those calls should go, including what counts as urgent for your business.

  2. Write the call flow

We draft the greeting, the questions, the routing rules, and the wording for messages and transfers. Then we review it with you line by line.

  3. Choose how calls reach the agent

Depending on your phone setup, the agent may answer only after hours, only when a call goes unanswered, or for every call. We work with your existing phone provider to decide.

  4. Test with real scenarios

We place test calls covering routine questions, urgent situations, wrong numbers, and frustrated callers before the agent takes live calls.

  5. Review and adjust

We review call summaries with you on a regular schedule and tighten the script where callers got stuck or were routed to the wrong place.

Setting the right limits

An AI receptionist should never pretend to be a person, make promises about pricing or outcomes you have not approved, or give advice your business is not allowed to give over the phone. Healthcare, legal, and financial offices need particular care. In those fields, we keep the agent to scheduling, routing, and message taking. We also recommend checking the call flow with whoever handles compliance for your practice. Some places require telling callers when a call is recorded, so ask your own advisor what applies to you. If you want a structured way to think about these risks, the NIST AI Risk Management Framework is a helpful reference.

We tailor AI phone answering to each business’s phone system. We do not list a ready-made product for it here. Contact us to talk through your setup.

Frequently asked questions

Do I need a new phone number?

Usually not. In many setups, calls are forwarded from your existing number to the agent under conditions you choose, such as after hours or when nobody answers. We confirm what your current provider supports during the consultation.

Can callers still reach a person?

Yes, and they should be able to. We build in a transfer or callback path, so anyone who asks for a person, or whose situation is urgent, is not trapped in an automated loop.

Will it sound robotic?

Modern voice technology sounds far more natural than older phone menus, but scripting matters most. Short, plain sentences and clear confirmations make the biggest difference to how callers feel about the experience.

Can it book appointments directly?

It can always collect appointment requests. Booking straight into your calendar depends on which scheduling system you use and how much control you want to keep, and we sort that out with you during planning.

Is this the same as your voice chatbot?

No. Our voice chatbot service covers spoken conversations that start on your website. This page covers calls to your business phone number.
